If your appraisal stalls at 97% or your rating meeting feels rushed, the usual gap is missing TPAD evidence. This checklist shows what to prepare for each teaching standard, how it links to the lesson observation form, and when to upload before the term closes.

Why TPAD Evidence Matters

The Teachers Service Commission runs Teacher Performance Appraisal and Development (TPAD) online. Teachers self-appraise, appraisers rate, and lesson observation marks feed Standard 1. The Commission publishes the TPAD operational manual, lesson observation form and a checklist of professional documents on its performance management downloads. Failure to complete termly TPAD data can attract disciplinary action, so treat evidence as part of weekly teaching, not a last-week scramble.

TPAD Evidence Checklist by Teaching Standard

1. Professional knowledge and practice

  • Updated schemes of work and lesson plans from the current curriculum designs.
  • Lesson notes and weekly-checked records of work.
  • At least one lesson observation record per term (compulsory for completing the online appraisal).
  • Teaching and learning aids (photos of improvised resources are acceptable).
  • Learner assessment records, marked books and feedback notes.
  • ICT-integrated lesson evidence: digital content links, printed screenshots or learner work produced with ICT.
  • Talent and IEP notes where you support different learning styles.

The lesson observation form scores introduction, content delivery, methods, learner involvement and classroom management out of 100, then converts to the Likert scale on the portal. Book the observation early; do not wait for the closing week.

2. Comprehensive learning environment

  • Photos or notes of a child-friendly classroom (talking walls, displayed learner work, clear rules).
  • Records of clubs, baraza or learner councils that promote respect and inclusion.
  • Safety sensitisation records aligned to MoE school safety guidance.
  • Guidance and counselling notes and records of parental involvement where behaviour is managed.

3. Teacher professional development

  • A dated TPD support plan for the term.
  • Certificates or attendance lists from school-based and self-initiated TPD (subject panels, CSO workshops, online modules).

4. Teacher conduct and professionalism

  • Evidence you know and follow legal and policy requirements (code of conduct briefing notes, signed school policies).
  • Punctuality and attendance records as kept by the school.
  • Meeting minutes where you contributed to professional discussions.

5. Participation in co-curricular and community activities (as listed on your form)

  • Co-curricular registers, tournament or festival reports.
  • Community or parental engagement activity records.

Exact target labels on the online form can vary by update; always match uploads to the targets shown on TPAD 2 for the current term.

Weekly Habit That Makes Term-End Easy

  1. Monday: confirm the week’s schemes and plans are printed or saved.
  2. During lessons: snap one photo of resources or learner work (no identifiable child faces on public devices without consent).
  3. Friday: update record of work; file marked samples.
  4. Once a term: complete lesson observation and upload the marks promptly.
  5. Before rating week: zip evidence per standard and upload clear PDFs or images.

Institution-level calendars from TSC typically require rating meetings by the term’s closing date and ongoing uploading of data and evidence. Confirm your school’s internal deadlines with the deputy or HOI.

Strong TPAD files come from real teaching systems: fair tests, clear rubrics and organised professional documents. Use our guides on CBC assessment rubrics, setting CBC classroom tests and a scheme of work template for junior school. Teacher tools and the Teacher Pass are collected under teacher resources.

Frequently Asked Questions

Is TPAD evidence optional?
You can sometimes submit scores without every attachment, but documentary evidence backs your rating and is strongly advised. Lesson observation marks are effectively compulsory to complete the online appraisal.

How many documents should I upload per target?
Quality beats volume. One clear lesson plan, one observation form and a short sample of learner work often serve better than dozens of unsorted photos.

What if I teach a large class and struggle with individual records?
Use group checklists, rotating oral checks and sampling (detailed marks for five learners per lesson, rotating weekly). Note the strategy in your assessment records.

Where do I find official TPAD forms?
From the TSC website performance-management category: operational manual, lesson observation form, calendar of activities and professional documents checklist.
